⚠️ Submission rules

  • Submit your application online through SmartyGrants with all required details and attachments.
  • Ensure the application is submitted by a Responsible Person (e.g., a director, CEO) or an Authorised Contact who is officially associated with the applicant organisation.
  • An Authorised Contact may submit an application on behalf of the organisation with the endorsement of the Responsible Person.
  • Use the active ABN registered to the organisation’s legal entity.
  • Provide realistic, accurate, and complete answers in your application.
  • Respond to requests for additional information if assessors contact you.

ℹ️ Definitions

  • ABR - Australian Business Register, where you registered for your ABN.
  • Applicant - the organisation or individual submitting an application for funding through the Department’s SmartyGrants portal.
  • ASIC - Australian Securities and Investments Commission, where you registered your company (if applicable) or business name.
  • Authorised Contact – A person formally authorised by the Responsible Person to access, complete, and submit information on behalf of the applicant organisation. This may include directors, trustees, public officers, office bearers, employees (manager or higher), or other authorised representatives.
  • Chamber of Commerce – An incorporated entity made up of local businesses and professionals that work together to promote and support the economic interests of their community.
  • CDSB - Department of Customer Services, Open Data and Small and Family Business
  • Department means the State of Queensland (represented by Department of Customer Services, Open Data and Small and Family Business), which administers the SmartyGrants portal and the grant program.
  • Industry Association/Group - means an association that provides support and advocacy to a particular industry or groups of industries. This also includes recognised industry skills bodies.
  • Small and Family Business Association - means an association that provides support and advocacy to small and family businesses.
  • Legal Entity – Refers to the organisation applying for the grant, such as a Chamber of Commerce, Small and Family Business Association/Group, Industry Association, or local Council, as listed on official records.
  • Related Party and/or Financial Beneficiary - Refers to individuals or entities that gain an advantage or profit from something, such as receiving or distributing funds from a trust, will or life insurance policy. This includes companies with common shareholdings, directors, employees, or immediate family members.
  • Responsible Person - the signatory to the Funding Agreement if your application is selected for funding. They must hold the authority to act on behalf of the organisation in all matters related to the grant.
  • Third parties - Includes businesses, financial advisors, accountants, or suppliers involved in the grant-funded activity.
  • You and related parts of speech or other grammatical forms means:
    • you as an individual; and
    • the small and family business association, industry association, local council or chamber of commerce you act on behalf of.

Privacy Statement

The Department of Customer Services, Open Data and Small and Family Business (CDSB, we, us, our) will collect and manage your personal information in accordance with the Information Privacy Act 2009 (Qld) IP Act as set out in the CDSB Privacy Policy.

What is personal information? 

'Personal information' may include your name, address, phone number, email address, your employer, and your position title.

What information may we collect?

We collect personal information only through lawful and fair means, and only when it's reasonably necessary for, or directly related to, our functions and services.

We may collect your personal information for the following purposes:

  • to assess your eligibility to receive grant funding under the Grant Program;
  • to administer the grant and ensure compliance with the program guidelines and the funding agreement; and
  • to promote relevant issues and services to you.

How may we use and disclose your personal information?

We may use personal information you provide: to monitor, evaluate, report, audit, and promote the Grant Program.

We are authorised or required to collect this information.  Any personal information collected by us will be handled in accordance with the Information Privacy Act 2009 (Qld). 

We may collect personal information about you from another person or entity to ensure compliance with the program guidelines and the funding agreement.

We cannot assess your application or process your grant without this information.

Your personal information may be shared with:

  • the relevant Minister (including his/her advisers);
  • the Parliament of the State of Queensland (including Parliamentary Committees);
  • Queensland Government departments and agencies; and
  • External parties engaged to assist in the administration, monitoring or auditing of the program.

We will not otherwise give your personal information to a third party without your agreement, except as required by the Information Privacy Act 2009 (Qld).

Security and retention of personal information

We hold your personal information securely, and we take reasonable steps to protect it from misuse, interference, loss, unauthorised access, modification or disclosure.

We're obliged to take reasonable steps to destroy or de-identify personal information that we hold about you if we no longer need it, except in limited circumstances as described in our Privacy Policy.

Accessing and amending your personal information

You have the right to access the personal information we hold about you at any time and may request that we update, correct, or amend your personal information.

Other

It is possible that information submitted by you may be the subject of a Right to Information Act 2009 (Qld) (RTI Act) application.  We will manage any application in accordance with the RTI Act.

Information submitted by you will be treated as a public record under the Public Records Act 2002 (Qld).
